Dear Sir/Madam,
I am writing to apologise for being unable to attend the meeting session we scheduled on the coming Friday.
Unfortunately, my mother had an emergency surgery yesterday. As she lives alone , with no one to take care of her, I have taken 2 weeks off to attend her. Thus, considering the circumstances, I will not be able to finish our project before Friday. I am sorry for any inconvenience this may cause and I hope you can understand my situation.
My sister will be coming to visit our mother next week so I will have time to complete the paperwork. However, I know you have your daughter’s birthday coming up and had applied for vacation in advance. Taking everything under consideration, I suggest we rearrange the meeting on 15 of April, if this is suitable for you. I have discussed the matter with our supervisor and he is supportive of the decision. You do not have to worry about the deadline as it has been extended for 12 days.
Thank you for your understanding and I look forward to your response.
Best regards,
Rida
