Mr. Smith,

I am writing this to arrange a meeting with you for an event that our community group is organisizing. I am hoping to get a sponsorship from your business as a local business owner. Moreover, we can discuss about this in one on one meeting either online or in the municipal office on upcoming Thursday at 10am. However, if the time does not suit your schedule, we can also make up another day or at different time. In the meeting, I will be pitching a presentation about how much money we are planning to raise, what charity we are donating money to and lastly, the use of the sponsorship money as well as activities that will be held on the day of event.

I hope you will consider my request for the meeting and reply me back with a letter. I will be waiting to hear from you.
