Subject Appology for inablity to participate in community event

Dear Sir,

I hope this message finds you well. I am writing to inform you that unfortunately, I am unable to fulfil my commitment for upcomming community event.

As you may recall, I had volunteered to assist with coordinating the registration desk on the day of the event. I was looking forward to contribute for the success of the program.

However, due to unforeseen personal circumstances that required my immediate attention, I am unable to participate as planned. This situation arose unexpectedly and despite my best efforts, I could not make alternative arrangements in time.

I Sincerely appologise for any inconvinience my withdrawal may cause you or the organiztional team. i understand the importance of reliability i such events and regret any deisruption this may create. Please be assured that this was not an easy decision , I truly appriciate your understanding.
