Dear Sir/Mam,

I hope this letter finds you well. I am writing to let you know that I would no longer be able to volunteer at the ‘Farmer’s Market’ event happening this Sunday, 20th February. Eventhough I was looking forward to be a part of such an amazing event, I have an unexpected emergency at home which I couldn’t avoid.

I deeply apologize for any inconvenience that my absence would cause. For the past 3 months, I have been actively involved in making our charity event a great success. Unfortunately, I am not available to witness it’s outcome in person. As an alternate, I would like to recommend Darun Aru, a very good friend of mine, who could help volunteer and contribute to the success of our event.

Thank you for your understanding and continued support. I promise to make it up for this in our next event.
