Dear Sir/Madam,

I hope you are doing well.

I am writing this email to ask if I can book the community hall for a small reunion with my former classmates. We are planning to have the event on 20 July from 4:00 PM to 8:00 PM.

We will need around 30 chairs, a few tables, and a sound system with a microphone for some games and speeches. If these are available, it will be very helpful for us.

After the event, we will clean the hall and collect all the waste before leaving. We will make sure the place is left in a good condition.

Please let me know if the hall is available on that date and if there are any booking charges or rules we should follow.
