Dear Sarah,

I hope you are doing great! Thank you for inviting me to Riya’s surprise birthday event and I would have loved to be a part of that party.

Unfortunately, I have my final exam on her birthday and it is an extremely important paper for me to graduate on time. I believe that the party starts at 4:00 pm till midnight and my paper is from 7:00 pm to 8:30 pm, which makes it impossible for me to be there to help you out with decorations or to surprise Riya. Anyways, I have got a beautiful gift for Riya which I will make sure to drop off after my exam.

On the other hand, I know we still have 6 weeks before her birthday to replan a party and send out invitations on time. Only and only if you are comfortable adjusting to that. Another easier option is to shift the party to noon maybe around 2:00 pm so that I can join the party and I can still give my exam later that day. These are just some alternatives I had, totally understand if this does not works. We can catch up later after her birthday to celebrate Riya. Alright, hope to hear from you soon!
