I hope this letter finds you well. I am very glad to hear that you are visiting my hometown next weekend on your holiday. However, I deeply apologize for my unavailability on the dates mentioned by you, as I am pre-occupied with my office work during those days. I am feeling very bad about this as we were planning your visit for a very long time, and now when it is finally happening, I became party pooper.
The issue is, there is an upcoming event in the Stanley Park of Vancouver sponsored by our RBC bank, and I have been given the responsibility to look after all the operations to make this event a success. And because your are arriving next weekend, this event is clashing with the date of your arrival.
But no need to be disheartened, I have applied for the three days leave after this event and now you just have to move your plan two days ahead from the planned date. Additionally, you can come early morning now instead of the evening and we can have a more fun time together.
