Dear Jack,

I’m writing to let you know that next weekend I’m going to visit you in Berlin.

As you know, I have been working in the same company for 2 years. And, we will be an exhibitor at the sustainability fair from 15th May to 19th May. This will be my first fair experience for this reason I’m so excited. The fairground is in Hamburg. Even so, I’m planning to fly to Berlin two days ahead only to see you. So, if you’re free I’d like to spend time with you and your family during the weekend.

I’m sorry to give you short notice. I believe that I can stay with you, but, if it’s not available for you, please, let me know. I can always book a cheap hotel room in the city center.

Additionally, even if I stay in your place, I kindly ask you to pay my expenses. Otherwise, I would feel so uncomfortable.
