Dear Jack,

I’m writing to let you know that next weekend I’m going to visit you in Berlin.

As you know, I have been working in the same company for 2 years. And, we will be an exhibitor at the sustainability fair from the 15th of May to the 19th of May. This will be my first fair experience for this reason I’m so excited. The fairground is in Hamburg. Even so, I’m planning to fly to Berlin two days ahead only to see you. So, if you’re free I’d like to spend time with you and your family during the weekend.

I’m sorry for the short notice. I would be greatful if I could stay with you, but if it’s not possible, please let me know. I can always book a budget-friendly hotel room in the city center.

Additionally, even if I stay with you, I would prefer to cover my own expenses. Otherwise, I would feel so uncomfortable.
