Dear Mr. Sharma,
I am writing this letter to bring to your attention that I would not be able to attend our annual financial meeting on the 5th of march, 2026 at the Hamptons Inn. I know this is a big trouble to our clients as well since we have a follow up meeting with each of them the very next day.
I would like to take this opportunity to apologize for my last minute schedule changes. I know the annual meeting is only time where we get discuss our company’s progress while we review the annual financial report followed by one-on-one clientele meetings.
The reason behind the meeting’s cancellation is my health. I have not been keeping well and I think I have contracted common flu. I am experiencing severe cold, fever, night chills, nausea and overall body weakness. The doctor has advised me complete bed rest for 3-5 days.
I am hoping to feel better by the next week. I would request you to reschedule our meeting to the 9th of March, 2026. I am positive that my health should improve by then. I would ask our Human resources team to rearrange the bookings once you confirm your availability. I will also arrange for the HR team to coordinate with our clients and rearrange as per their convenience.
I look forward to hearing from you at your earliest convenience.
Yours Sincerely,
Shivani Gautam
