Dear John,
I am writing to apologise for not being able to attend the recently held meeting related to the upcoming project on building the suburban railway loop, and to rearrange a date for our meeting.
I understand that my presence in the meeting was crucial, but the reason I was unable to attend was unavoidable. In the morning of the day of the scheduled business lunch, I received a call from my daughter’s school mentioning that she had fainted during the school assembly. As my husband was out of town on that day, I was the only parent available to pick her up from school and keep her under care until she felt fit and healthy to return to school.
I genuinely wish that I was able to be there during the lunch as this would have been a great opportunity for us to discuss the improvements that we could have made to our plans especially related to the new routes and estimated costs and profits of the project.
I am sure that this might have caused inconveniences to the team, especially in terms of finding time to allocate to hold the lunch and making the reservations. In order to compensate for the time lost, I suggest extending the time period of the next meeting which is yet to be held next week by one more hour so we can go through the discussion points of the missed session.
Please accept my apologies once again and I hope that the team will extend their full support during this crucial time period of the project.
