Dear Mr and Mrs Collins,

Thank you for inviting me to the planned surprise birthday party for Chris, I am very sure he will enjoy the surprise event. However, it is unfortunate that I wouldn’t be able to attend, as I have an upcoming examination around the said date. I have also made plans to see him during my summer break.

Chris has always been fascinated about the idea of having a birthday party he isn’t aware of. We recently saw an Instagram post of a mutual friend’s surprise party, and he was very excited about the possibility of having one of such. I am positive he would cherish having one organised for him.

I would have been very happy to be a part of the planned celebration, but my coming mid-semester exams will be a constraint. I have however made plans to travel to Australia during the summer break to see him, and we have lots of activities mapped out for my visit.

Once again, I am grateful for the invite, and I am very sorry I won’t be able to grace the occasion. I am however very optimistic he is going to enjoy it, and he would have enough tales to tell me about it when I come around during the holidays.
