Hello Rk,

I hope you are doing well and in good health. I am writing this letter to express my regret regarding not able to present to welcome you on upcoming Saturday due to unavoidable work commitment. On that day, I have to attend the important meeting with my current project clients because of the lack of staff in my office. This is a crucial task for my career which I have to attend successfully.

I sincerely apologize for this inconvenience and I would like to offer an alternative date on 5 April for our meet up. So we can longer spend our quality time together. We can also visit some tourist places in my country and enjoy some meaningful moments together.

I hope you can understand my situation. Also, please let me know this date will accommodate your schedule. Once again, please accept my apology and look forward to meeting you.
